Managing Access for Visitors and Service Providers
Companies face the challenge of reliably managing access for visitors and service providers. In security-sensitive industries, such as chemicals, pharmaceuticals, or steel—it must be clearly documented who visited which company premises, for what purpose, and who granted them access authorization.

Ensuring Safety and Compliance. Visitors must be registered, briefed, and able to interact safely with internal staff. At the same time, external contractors need sufficient freedom of movement to carry out their tasks. Another layer of complexity is evacuation management, which must include not only employees but also visitors and external service providers. The IF-6040 access control system offers automated processes tailored precisely to these needs.
In typical office settings, visitor management is relatively straightforward. The host invites the visitor via Outlook, the visitor checks in at reception or a self-service terminal, and is marked as present in the system. The host is notified of the visitor’s arrival either by staff or automatically via the system. Visitors are then issued an access credential either manually or automatically.
Once the visit ends, the visitor is checked out either by reception staff, the host, or automatically. The IF-6040 system supports fully automated workflows, from creating visitor records and assigning access rights to issuing ID media. Predefined rules eliminate the need for constant manual intervention.
From Safety Briefing to Certification
The process becomes more complex when visitors require detailed safety briefings or certifications to enter the premises. This is common in industrial plants, airports, seaports, or power stations.
To address this, Interflex offers the "Briefing" module within the IF-6040 system. It allows visitors to complete required briefings conveniently either at an on-site self-check-in terminal or online. The system tracks all certifications and their validity, ensuring companies can always verify when and which briefings were completed. Access is granted only to authorized individuals.
Access for External Personnel
Things get even more complex when unknown individuals require irregular access or when large groups arrive simultaneously such as during regular maintenance shutdowns or in industries with a high number of subcontractors.
In such environments, companies must manage identity verification, safety briefings, and evacuation procedures for a large number of non-employees. Interflex provides solutions for partially or fully automated access control while ensuring compliance with internal security policies and legal obligations.
With the IF-6040 system, partner companies can register and brief unlimited numbers of personnel remotely. A dedicated contractor portal allows all documents and certificates to be managed and linked to internal processes—such as project or order numbers. The system can then grant or revoke access rights accordingly. The same functionality is available at on-site self-check-in terminals. From identification and host/project assignment to briefings and access authorization, companies can fully digitize and automate their processes, while maintaining complete traceability.
Systematic Evacuation
In the event of an evacuation, Interflex recommends managing all individuals, employees, visitors, and external workers, within a single system. This ensures the company always knows who has entered or exited the premises. In emergencies, an intelligent system coordinates evacuation using predefined alarms and automated control of doors and exits.
Controlled Vehicle Access
Another key aspect of access control is managing high volumes of truck traffic. Companies must ensure that trucks only enter the premises when loading/unloading capacity is available. Access control also ensures that only authorized vehicles are allowed on-site.
Driver and vehicle information can be cross-checked with freight documents and system data. Access control for individuals can also be integrated—for example, requiring that both the vehicle and driver be listed on the freight documents and verified against the system.
All access control solutions can be enhanced with modern camera technology. License plates of visitors or employees can be recorded or matched with existing data. A major advantage: security personnel at remote locations can access live footage and intervene in access processes in real time.
