Independent Check-In and Check-Out by Guests

With the Self-Registration Pro basic module, visitors to your company can check in and out independently and comfortably. This completely relieves the reception staff. Check-in and check-out are carried out by the visitor using a self-registration kiosk or a tablet located in the entrance, reception area, or foyer. The entered data is automatically stored in the system and can be further processed if needed. Traditional registration at the reception desk is no longer necessary. You can therefore easily use Self-Registration Pro at unattended side entrances or branch offices without a reception desk. Optionally, a visitor badge can be issued in the final step of the self-registration process, meaning no staff is required on site.

You can also optionally prompt the visitor during data entry to take a photo using an integrated webcam at the kiosk. The image is stored in the visitor database and adds an extra layer of security when dealing with external guests.

The Registration Process

1. The visitor lands on a welcome page featuring your company’s text and logo. A CAPTCHA check ("I am human") is performed to protect the service from bots and crawlers.
2. The visitor selects a preferred language from the available options, with additional languages available if needed.
3. Guests with an invitation can identify themselves using a QR code or PIN. Walk-in visitors manually enter their visit details.
4. Information is provided about how the data will be used during the visit (privacy policy).
5. Visitors can enter or update their personal information, such as adding a mobile number or vehicle license plate.
6. A safety briefing, presented in the selected language, informs visitors about rules of conduct on the premises. Optionally, they may be asked to confirm this with a signature. Proof of instruction can be stored in the system automatically, complete with a validity period. This proof remains valid for future visits within a defined timeframe.
7. Once the self-registration is complete, the visit is registered and the visitor may receive a pass or printed badge, and optionally an email with further information about their visit.

Each step of the application is controlled by a timeout mechanism. If the system is left inactive, the input screen automatically returns to the start page, ensuring that personal data is protected in accordance with GDPR.
