“Invitation Portal” Module for Optimized Processes and Enhanced Security

Larger companies, such as shipyards and wholesale businesses, often rely heavily on external service providers. The administrative effort involved in managing and registering external workers, visitors, and contractors can be time-consuming for both parties.

Our “Invitation Portal” module helps ease this burden. It allows the coordinator from the external company to enter the personal data of their assigned employees directly into the portal, which is seamlessly integrated into the IF-6040 system’s visitor management.

By outsourcing the pre-registration process to the supplier, the module supports you in efficiently managing and planning work assignments involving external service providers, contractors, or temporary workers.

A new and useful feature is now available: the work assignments created by the external coordinator are now treated as pre-registrations and must be confirmed by the internal client or host. On-site registration for the assignment can only take place after this approval. Once approved, the assignment is confirmed via email to the external worker. This two-step approval process adds an extra layer of security and ensures a smooth workflow.
