Visitor Pre-Registration from Home
With the Self-Registration Public extension module, the visitor registration process within the IF-6040 visitor management system can be further optimized, significantly easing the workload at reception. Spontaneous visitors can manually enter their personal information and pre-register their visit. This pre-registration can be completed from any location via a publicly accessible website. Invited guests, on the other hand, can use a personal link from their invitation to view and update their visit details, or to reschedule or cancel appointments if needed. Self-Registration Public is therefore a complementary alternative to using a kiosk terminal at the reception area.
For your visitors, this means even greater convenience and a faster check-in process on the day of their visit. They can complete the required safety instructions and acknowledge the privacy policy in advance, from anywhere - whether from home or their workplace.
Customizable Self-Registration
You can design the welcome page of the self-registration interface to match your corporate design. Colors, fonts, and logos can be customized to reflect your brand identity, creating a professional appearance and ensuring brand recognition.
When configuring the safety instructions in the self-registration process, you can tailor each step with multimedia content such as text, images, PDF documents, and videos. Text elements like headings, bullet points, and tables can be visually structured and styled for better readability, allowing visitors to quickly and efficiently absorb the information. This ensures a smooth and user-friendly self-registration experience.
The Pre-Registration Process
- The visitor lands on a welcome page featuring your company’s text and logo. A CAPTCHA check ("I am human") is performed to protect the service from bots and crawlers.
- The visitor selects one of six standard languages, with additional languages available if needed.
- Spontaneous guests can pre-register through the website by manually entering their visit details in the self-registration form. Invited guests access their visit information via a personal link provided in their invitation.
- They receive information about how their data will be used during the visit (privacy policy).
- They can enter or update their personal information. Optionally, a portrait photo can be uploaded.
- The safety briefing provides information such as rules of conduct on the premises. This can optionally be confirmed with a signature. Proof of instruction can be stored in the system automatically, complete with a validity period.
- Once the self-registration is complete, the visit is pre-registered and the visitor may receive an email with further information about their appointment.
The guest’s pre-registration is now complete. On the day of the visit, reception staff can use the pre-entered data for a fast and seamless check-in. Every step of the process, from identification via link to data entry and updates to sending visit information, is controlled by a timeout mechanism. If the system is left inactive, it automatically returns to the start screen. This ensures that personal data is protected in accordance with GDPR.
